Guidelines for abstract submission
Abstract
submission
1. Language.
All abstracts should be submitted in English language.
2. Originality.
Abstracts should be original.
3. Formatting: Abstract main text should be typed in Arial
font, size 11 or more, spacing at 1.5 lines.
4. Word
limit. The main body of the abstract must not exceed 350 words (this does
not include abstract title, authors’ details, keywords). Tables, graphs, and
pictures are not counted in the word limit.
5. Content:
The contents of submitted abstract should be structured in the following style:
5.1.Abstract
Category— Research Abstracts
/ Case Report / Case series
5.2.Abstract
title – must be in UPPER CASE and limited to 25 words. Please submit symbols as
words. e.g. Beta, alpha, etc.
5.3.Background
and aims:— a brief discussion of the background or rationale of the study
and/or questions addressed
5.4.Materials
and methods: — the experimental
approach, materials, and methods used in the study
5.5.Results:—
the data and results obtained in the study
5.6.Conclusions:—
the conclusions and/or implications of the results
5.7.Keywords—
use up to 5 keywords, separated by commas (e.g., word 1, word 2, word 3).
Keywords should be listed in the MeSH terms.
5.8.Case
Report, Case series should follow this structure:— Background, Case
description, Clinical hypothesis, Diagnostic pathway, Discussion and learning
points
6. Images
and graphs. Images must be in JPEG or PNG format (uploaded images
should not exceed 640w x 480h pixels and 1.0 Megabytes). All tables and figures
must be accompanied by a caption and list of abbreviations whenever appropriate
(e.g., Figure 1: description /Table 1: description).
7. Abbreviations.
Abbreviations and acronyms should be spelled in full and followed by the
abbreviation/acronym in a parenthesis the first time they are mentioned in the
abstract. e.g. Systemic lupus erythematosus (SLE) is a rare disease. SLE was
diagnosed in 5 out of 10 patients…
8. Instructions
for submission:—
8.1.Abstract
should be submitted by the primary author, who is also the corresponding author
and point of contact.
8.2.A separate title page,
including the abstract type, abstract title, names of corresponding author,
co-authors, their academic titles and affiliations, any declarations should be
submitted. The authors’ affiliation should be clearly indicated as Designation,
Name of the Department, Name of the Institute, City, Country, email address.
8.3.The
abstract page,
with abstract main text, should contain the abstract type, title and the
contents. Author names or author or institutional identifications of any form
should not be used in the abstract main text or anywhere in the abstract page.
9. Restrictions
for submission—
9.1.Abstract content should not include
phone numbers, email or website addresses.
9.2.No
images, tables, graphs, citations or end notes are permitted in the abstract
main text. Any additional images should be submitted as separate attachments.
9.3.Non-proprietary
(generic) drug names in small letters must be used wherever possible.
9.4.Active
promotion of commercial entities, products or services is not permitted.
9.5.When
using abbreviations, spell out the full name when first cited.
10. Link
for submission: Abstracts must be submitted to the link provided at the end
of this document.
11. Deadline
for submission: Last date for abstract submission is provided at the end of
this document.
12. Presenting
author.
1. The
primary author should ensure that all co-authors are aware of the abstract's
content before submission
2. All
presenting authors must register for the conference. Authors not
registered for the conference will not be allowed to present their abstract in
the conference.
3. One
individual can represent as the presenting author for a maximum of 3 abstracts.
13. Co-authors:
1. All
co-authors must be listed in the title page scientifically in order. If the
presenting author isn’t the first author, it should be mentioned in the title
page.
2. All
listed co-authors must have reviewed the abstract and accepted responsibility
for its contents.
3. Each
author listed should have contributed to the study and consented to be
listed.
14. Outcome
of submitted abstracts.
14.1.The
Scientific committee will make the final decision as to whether the abstract
will be accepted for presentation.
14.2.The
abstracts may be accepted for either Poster or Mini-oral presentation or
Rejected. The Conference Scientific
Committee reserves the right to —
1.1.accept
or reject any abstract.
1.2.accept
the abstract in a different type of presentation (for example, abstract
submitted for an oral type presentation can be accepted for a poster) than
author had intended to. Due consideration will be given to author’s preference.
14.3.The
outcome of submission will be communicated to the corresponding author.
14.4.Accepted
for Poster presentation. For abstracts accepted for poster presentation,
poster mounting boards will be provided by the conference organizers. Authors
are expected to arrange other accessories, e.g. double tape, adhesives. Board
size will be as below:

14.5.Accepted
for Mini Oral Presentation. For abstracts accepted for mini oral presentation,
a 5 minute slot will be allocated for oral presentation during the conference.
It will be followed by a 2 min question answer session. The Scientific
Committee can decide to change the time allocated for each mini oral
presentation. The presenting author must load the Power Point presentations and
check for any formatting issues at the AV console at least 1 hour prior to
their presentation schedule. Presenters’ computers are not allowed for
presentation during the session.
14.6.Rejected—
Rejected abstracts will not be allowed for presentation in the conference
program.
15. Publication
of abstract.
15.1.The
Society may publish all accepted abstracts in the official meeting publication
in printed form or publish in the electronic audio/visual format in hard drive
or as a public content in the internet.
15.2.As
the abstract will be published without any editorial work, please check
carefully for typographical errors, misspellings, poor hyphenation,
etc. Please check that your abstract title is correct.
16. Originality
and Copyrights Transfer
16.1.By
submitting the abstract of their works, the author(s) represent(s) and
warrant(s) that he/she/they is/are the sole author(s) of the work, that all
authors have participated in and agree with the content and conclusions of the
work, and that the work is original and does not infringe upon any copyright,
proprietary, or personal right of any third party.
16.2.The
submitter affirms that the work submitted is original, except for extracts from
copyrighted works fully authorized by the copyright holders, and that all
statements declared as facts are based on thorough examination and
investigation for accurateness.
16.3.Submitted
abstracts should not have been published in any other journals and/or online
publications nor presented at any previous international congress. However,
former presentation at national meetings does not disqualify.
16.4.Author(s)
retain(s) the right, after presentation at the conference, to subsequently
include the work in articles, books, or derivative works that he/she authors or
edits.
16.5.The
submitter signs for all co-authors. He/she accepts responsibility for the
present rules for submission and presentation on behalf of all co-authors.
16.6.The
submitter should have ensured that the patient consent is obtained before
submitting the abstract.
16.7.The
authors consent to have their names,
affiliations and biographical material used in connection with the
official publication of the conference.
